A new rule means UAE-based travellers applying for a Schengen visa will need to complete an extra (but important) step – or risk not getting that all-important appointment.

Under the latest update from VFS Global (the official agency that handles visa appointments and document processing), you’ll now need to complete your visa application form online as part of the appointment booking process.

In other words, no more booking a time slot first and filling in the paperwork later. It all has to be done upfront for travellers spending most of their time in Switzerland.

According to VFS Global, it’s all about “streamlining” the system and making things smoother for both applicants and visa-issuing embassies.

The aim is to boost accuracy and reduce back-and-forths caused by incomplete or incorrect forms.

While UAE citizens can still enjoy visa-free travel to Schengen countries for short stays, this change matters most for residents of other nationalities in the UAE who do need a Schengen visa to visit Europe – including expats from India, the Philippines, Pakistan, Egypt and beyond.

Whether you’re planning a summer escape to Italy, a snowy Christmas in Germany, or a weekend wander through the streets of Paris, the new process applies to all Schengen visa applicants using the VFS Global portal.

How it works now:

  1. Head to the VFS Global website for the country you’re visiting (or the one you’ll spend the most time in).
  2. Complete the online visa application form directly on the appointment booking platform.
  3. Submit your application with all the correct details.
  4. Choose an available appointment slot at the designated Visa Application Centre (VAC).
  5. Show up with your printed documents, passport and supporting files.

Once you’ve completed your application online and confirmed your appointment, you’ll still need to finalise the process via the embassy portal (like Germany or Switzerland), depending on where you’re applying.

Keep an eye on processing times and apply well in advance – some slots get booked up weeks ahead.

This change reflects a broader push towards digitalisation of visa services across Europe. From pre-filled forms to digital uploads, expect a growing emphasis on online systems to reduce queues and paperwork.
